The tenancy overview allows you to manage your whole deal on one page and you can action everything from here. Each tab can be opened and details edited throughout the set up stage such as the move in date, rental amount and rent schedules. All aspects of the set up can be carried out in any order which allows you to work differently on different deals and progress them in the best way for you.



Tenancy Tasks


To action any tasks, click on the ellipsis button on the right hand side of the task and follow through the steps.


You can clearly see the status of the tasks and what is still awaiting signing as there will be red or green ticks next to the applicants who are requested to sign.


If you have requested tasks to be issued during the set up wizard these will already be visible when you create the tenancy and will be clear to see.


Within these tasks you will always see an option for ‘printed form’ or ‘other method’ which allows you to complete the task if you have done it outside of the system and you can always upload the additional document to the documents section on the tenancy overview to keep all your documents in one place.


You can add comments to each task by clicking the speak bubble to the right hand side of the task to pin specific notes against it. These comments will be visible on the tenancy overview and will be logged with who made the comments.



Cost Breakdown - Select your template and add any special conditions you may have that are specific to this tenancy then click submit. This will be sent to the tenant for eSigning.


Holding Deposit - This can be marked as taken or requested by bank transfer. Your account details will be configured on the platform and the instruction sent to the tenant. You will be notified when the applicant has made payment and you can confirm that you have received funds then complete the task using the ellipses button.


Draft Tenancy Agreement - Select your template and add any special conditions you may have that are specific to this tenancy then click submit. This will be sent to the tenant for approval. Please note the draft agreement is not signed by the tenant, but they sign to say they have viewed it.


Landlord Offer Letter - Select your template and add any special conditions you may have that are specific to this tenancy. You have the option of getting the offer letter eSigned or not then just click submit and it will be with your landlord.


Compliance Documents - You will only be able to start the compliance task once you have your minimum standard of documents uploaded. As a default this is a Gas Safety Certificate, EPC and EICR (this can be configured on your account to be different if required). You will upload these through the compliance section.

Once you have the required documents to send for eSigning, you can action the task. At this point the 'How to Rent' guide is also issued and signed with the compliance documents. You can also add bespoke welcome packs and documents. You can add these on a case by case basis here as well which we can configure for you.

Once submitted, all tenants will be required to eSign these documents and you will clearly see who has and hasn’t signed on the tenancy overview.


Final Tenancy Agreement - Select your template and add any special conditions you may have that are specific to this tenancy. Templated conditions are available here and can be configured for you to speed up the process.

Select which landlords or agent you would like to sign the agreement after the tenants which will be listed.

If there is a guarantor in place for the tenancy you will need to select your guarantor agreement template and answer if they are required to reference specific tenants eg. If there is a student let.

Click Submit and this will create the final tenancy agreement, prescribed information and also include a copy of the scheme terms in the signing envelope. This will not issue the signing straight away and gives you the chance to preview the documents first by clicking not he ellipsis next to the task on the overview. Once you are happy click issue eSign and it will go out for signing and you will see who has and hasn’t signed the document.


Move in Balance - This can be marked as taken or requested by bank transfer. Your account details will be configured on the platform and the instruction sent to the tenant. You will be notified when the applicant has made payment and you can confirm you have received funds then complete the task using the ellipses button. 


Prescribed Information - After the final documents are signed you can issue the signed prescribed information to the tenant and also a copy of the deposit certificate once you have registered it. The tenants will be requested to eSign this task if you send it to them.



Applicants


Within applicants section you can manage the applicants referencing, view their document uploads and confirm they have answered their deposit questions for the prescribed information. You can also send reminders and chase applicants from here by clicking on the ellipsis button.


Referencing applicants - You can send out references individually by clicking the ellipses buttons next to the applicants or if you have multiple applicants you can click the ellipsis button in the top of the applicants section and select reference all applicants.

You will need to select if you require a standard (48hrs) or express (24hrs) turnaround time and also if you would like to add a digital identity check.

Once you have actioned the referencing process the status will be visible within the applicants section and you can see further information by clicking on the ellipses next to the applicant where you will see an in-depth view of the reference and you can then return to the tenancy view here by clicking ‘View Tenancy’.



Compliance


Within the compliance section you can manage the specific items you require for the particular tenancy.

Within each compliance document you can manage the status and booking of these and they will show up on your dashboard if they require attention.

You can toggle off any items that are not relevant to this tenancy so they won’t show on your tenancy overview and make it clear what you do need to work on.

You can add comments to each compliance element to pin specific notes to these elements. These comments will be visible on the tenancy overview and will be logged with who made the comments.

You can add any addition documents to be signed within the standard compliance documents (Gas Safety Certificate, EPC, EICR) signing by clicking the tab at the bottom of each section for it to be included.



Notes


General notes can be added here which will only be visible on your side and will be logged with the user, time and date.



Todo List


The todo list allows you to add any kind of actions required, such as checking a property has been cleaned, getting management keys cut etc. These can also be assigned to anyone within your organisation and they will be notified of the new todo they have been assigned to and these will be come actionable tasks that can be completed on the overview so you don’t miss things.


These todo’s can also be set as default to appear on every tenancy as standard which will allow you to customise your own workflow and todo list to ensure things aren’t missed on the tenancy set up.

Todo’s can also be specific to new tenancies and renewals and added any time within the tenancy.



Tenancy status


You can amend the tenancy status within the tenancy section on the dashboard, these status include: ready to move in - once you have done everything and just waiting on the move in, on hold and fallen through. When you change the status it will show on your tenancy dashboard.

When it comes to the move in date if you haven’t confirmed the move in, you will have a confirm move in tab pop up which will add it to your active portfolio.
